Absences planning is a feature that allows you to view the entirety of your Resources who have or haven't submitted absence requests.

Planning module > Absences tab
Usage case: At the beginning of the week or month, you need to coordinate your team and to synchronize people who are present or absent. For good management, it is important to plan the workload.
For this purpose, absences planning allows you to view and plan your managers'/team's absences according to the selected monthly period and depending on different filters.
How to use filters?
You have at your disposal different filter variables in order to narrow your search and plan your present workload efficiently:
- Resources display options: By default, the module is set on Resources with absences. If it isn't the case, you can choose your display option. (Resources with absences, Resources without absences, All Resources)
- Perimeter : select the perimeter that you need (ie. an agency, a business unit or a dynamic perimeter etc.)
- State (Resource) : Choosing Resources' states allows you, for instance, to exclude Resources with an "Intercontract" or "Resigned/Left" state.
- Type (Ressource) : Filtering the Resources' type that you wish to view in the absences planning, allows you to view the absence planning of one or multiple teams. For instance, in cases where you need to take vacations without impacting the workload depending on who's working on this period.

Reading the planning
Thanks to a color code and a legend, you can easily tell the difference between:
- validated absences
- and unvalidated absences
Good to know:
Unvalidated absences correspond to absences that entered the validation workflow, meaning absences that were submitted (for validation) by the related Resource and sent to their validator(s). Saved absence requests will therefore not be displayed in the absences planning.
Tips!
💡 You can zoom in on a Resource's absences planning by just clicking on it.💡 This will be useful in order to quickly validate absences pending for validation. 😉

Usage case : It's the summer holidays soon! ⛱️ I need to organize the workload and to also view if I can keep on validating some absence requests. Will we have enough people working on this period?
For this purpose, absences planning allows you to view and plan your managers'/team's absences as well as their attendance according to the selected monthly period and depending on different filters.

💡 You can zoom in on a collaborator's card by just clicking on their name.💡 This will be useful for quickly accessing their contact information. 😉
It is possible to extract the data of absences planning. For this, all you need to do is click on the extraction icon at the top right of the module and to choose the desired format.
If you cannot find the extraction icon, this would mean you do not have the necessary access rights for extraction. (see the "Necessary access rights" section > 2)
Reminder!
Selected filters are taken into account in the extraction. If your extraction data seems incomplete, do not forget to check the selected filters before extracting your absences planning.
1 - Necessary access rights to view the Absences planning module
1.1 - Enabling the module
Administration > Managers/Roles > role/manager card > Planning/Reporting tab
In order to access the Absences planning module, you need to enable the module in your role's access rights.
1.2 - Configuring the module
Administration > Managers/Roles > role/manager card > Planning/Reporting tab > Absences configuration (cogwheel)
In order to decide what resources are visible by the user viewing the absences planning, you have the possibility to define their search perimeter for this module.
In the configuration of this module, you can also give or restrict the right for extraction.

2 - Necessary access rights to get access to Absences planning details
In order to have access to (and view) the details of a resource's absence planning, you need to have:
- the"Activity et Expenses" module enabled (role card > Main modules tab)
- access to the "Absences requests" data group in the Resource module (role card > Main Modules tab > Resources configuration)

Can intranets/collaborators have access to the absences planning?
No, you need a manager account in order to have access to this module.
When I click on a line, the "Absences" tab is not opening, why?
- If you click on the name of a Resource: this opens the Resource's card > "Information" tab.
- If you click on the line (not on the name): this opens the "Absences" tab of this Resource's card.
- If you do not have access to this (no clickable link), then this is an issue of access right. You probably do not have access to this Resource's card. We invite you to contact your Administrator.
