Compta & Paie allows you to generate files to import your accounting & payroll data into your accounting tool (Sage L100, Sage Coala, CEGID) and HRIS (Sage L100, Sage Coala, and Silae):

  • Display and extraction of accounting entries for invoices, expenses & purchases

  • Display and extraction of time spent on missions, salaries & expenses of your resources

Thanks to this App, you can now easily interface BoondManager with your accounting and payroll management tool.

Installation

To benefit from this feature, please follow these steps:

1 - Installing the Compta & Paie app on BoondManager

Administration > Apps / Marketplace > Marketplace tab

For this step, you just need to:

  • Search for and open the Compta & Paie application
  • Click on Install 
2 - Authorizing a manager to use it 

Administration > Managers / Roles > related Manager/role card

For this, you need to:

  • Check the box next to the Compta & Paie application

Configuration

Part 1: Accounting

In this part, we will see how to configure clearing, product, expense, and VAT accounts.

NB: This step requires having access to the Administration. 

Administration > Apps / Marketplace > Apps tab> Compta & Paie > click on Configuration (cogwheel icon)

1 - Basic configuration

Firstly, you can choose the export format (Sage L100, Sage Coala, or CEGID) and the clearing third-party account to use.

  • If you have another accounting software, you can use the Coala format, which offers a classic flat file with semicolon separator, compatible with most software on the market. 
  • We recommend indicating "MISSING" in the clearing account rather than a 471 to clearly identify missing third-party accounts in the accounting export.

Then you will find 3 main parts to configure (see Part 2 for payroll configuration):

  • Supplier invoices (corresponds to payments in purchases)
  • Client invoices
  • Employee expenses
2 - Configuring accounts related to Client invoices
  • The Sales account field should contain the product account you want to use for sales (e.g., 706000).
    • Note that only one account can be entered here, which will be common to all sales recorded in BoondManager.
  • Also, specify the journal code to use for sales entries (labelled "VTE" by default
  • Then specify the VAT accounting accounts for each rate.
    • Tip: For 0% VAT (exclusive of EU), we recommend entering "445XXX" since there will never be entries at 0. This account will therefore never be used.

  • You can now customize how the Piece Number and Label sections are filled, using the provided variables. The following values are provided as examples:
    • Piece number: [BILL_REF]
    • Label: Client [CRMCOMPANY_NAME] - [ITEM_TYPE]

  • We recommend differentiating product accounts by type of invoice lines: to do this, enable the option to manage accounts and journals for each invoice item

  • You can then fill in the different accounts by invoice type:

3 - Configuring accounts related to Supplier invoices
  • The Purchases account field should contain the expense account you want to use for purchases (e.g., 604000).
    • Note that only one account can be entered here, which will be common to all purchases recorded in BoondManager.
  • Specify the journal code to use for purchase entries (labelled "ACH" by default
  • Then specify the VAT accounting accounts for each rate.
    • Tip: For 0% VAT (exclusive of EU), we recommend entering "445XXX" since there will never be entries at 0. This account will therefore never be used.

4 - Configuring accounts related to Employee expenses 
  • The Expenses account field should contain the expense account you want to use for employee expenses (e.g., 625100).
    • Note that only one account can be entered here, which will be common to all expenses recorded in BoondManager. (To fill in different expense accounts, see the mention below about "Managing accounts and journals for each expense type").
  • Specify the journal code to use for expenses entries (labelled "ACH" by default
  • You can now customize how the Piece Number and Label sections are filled, using the provided variables. The following values are provided as examples:
    • Piece number: [EXPENSES_REFERENCE]
    • Label: [RESOURCE_FIRSTNAME] [RESOURCE_LASTNAME] - [FEE_TYPE]
  • As the fields provided allow only one expense account and one VAT account, we also recommend differentiating expense and VAT accounts by type of expense: to do this, enable the option to manage accounts and journals for each expense type

Configuring third-party accounts (clients, resources & suppliers)

This step should be followed as soon as you have subsidiary accounts for your clients, suppliers, and/or employees.

Apps button > Compta & Paie > Configure companies third accounts (cogwheel icon)

  • You can then use the selector:
    • If you have extracted a record file but some third-party accounts were missing, choose the "Extracted companies without third account" option
    • If you have extracted a record file and want to modify the third-party account of one of the CRM cards, use the "Extracted companies with third account" option
    • To search for a specific CRM card and enter its accounting account, choose "All companies" and enter the desired company name in the search bar
    • Finally, to get the complete list of CRM cards and enter all the accounting accounts, choose "All companies" and then filter on the "Client" state
  • Then enter the desired accounting accounts.
    • NB : the accounts will be continuously saved, you do not need to click on a "Save" button on this screen.
  • Employee accounting accounts are entered in the Expenses tab of the app.

Part 2: Payroll

In this part, we will see how to configure payroll rubric codes for Sage or Silae in line with BoondManager payroll elements.

NB: This step requires having access to the Administration. 

  • Go to the Administration
  • Then go to Apps / Marketplace > Apps tab > Compta & Paie and click on Configuration (gear icon) > then go to the Payroll tab

Configuration of rubric codes

Firstly, you can choose the export format (Sage L100, Sage Coala, or Silae) and whether you want to group elements together (expenses, absences) to avoid having as many lines as declared unitary expenses, or as many absence lines as days of leave taken.

  • Generally, it is recommended to group expenses and absences for simplicity in preparing payslips.

Then the configuration simply consists of filling in the correct Sage / Silae rubric codes, and specifying which value we want to extract (calculation base, quantity, total amount, etc.). Each line corresponds to a payroll item that can be extracted from BoondManager. You can find:

  • Types of expenses that employees can report
  • Types of work units (employee activities)
  • Types of exceptional activities if applicable (standby, interventions)
  • Salary
  • Contractual benefits 
  • Bonuses and other non-contractual benefits 

The types delivered by default in BoondManager are preconfigured based on Sage's standard codes, but you will need to enter the rubric codes for lines that are specific to your BoondManager configuration, or if you use Silae.

  • For Silae, do not enter the AB-, EV-, or HS- prefixes. Just enter the rubric code, the export will automatically add the prefixes.

Using the app

Part 1: Accounting extractions

To extract the file of accounting entries, go to Apps (Apps button as a user) / Compta & Paie > Invoices, Payments, and Expenses tab.

Choose the items to extract using the provided filters.

Some tips for extracting from the Invoices tab:

  • State filter: Make sure not to extract invoices in Proforma and Creation states, as they can still be modified in BoondManager. The same applies to payments and expense notes.
  • The minimum period is a month, so it is advisable to perform your monthly accounting extractions once all invoices are sent to clients.

You can then click on the Extract icon to generate the file containing the accounting entries.

You will be asked to choose the desired extraction type between excluding taxes (ET) and including taxes (IC): if VAT applies to your company, always select IC.

 

Part 2: Payroll extractions

To extract the file of payroll items, go to Apps (Apps button as a user) / Compta & Paie > Contracts tab.

Choose the items to extract using the provided filters.

The resources found will then be displayed in the table, along with all the information allowing you to verify if all payroll items are ready to be exported:

  • Production, Internal, Absences: Reflects the time and absences entered by the employees
  • Salary: Indicates the normal monthly salary of the employee (no proration
  • Advantages, expenses, financial advance: Reflects the benefits paid to the employee, expense notes entered by them, and any advances for expenses to be reimbursed.
  • Time validation / Expense validation: Allows you to view the validation status of employees' timesheets and expenses, and access the documents with a simple click.

Once you have completed the usual checks, you can then click on the Extract icon to generate the file containing the payroll items.

NB: When configured for Silae, you can choose between extracting only activity (time from timesheets), only absences, only variable elements, or the entire set. To extract everything, choose the "Activity, absences, and variable" option.
