GDPR Consents is an application that allows you to maintain a record of your candidates’ consents regarding the collection and processing of their personal data, to track this record over time, and to export it for audits or inspections.

Accessibility
Once the app is installed, make sure to configure access for the users.
Several options are available:
- Accessible only to selected managers: you must enable the app for chosen managers directly in the Managers/Roles module > Manager or Role profile > Apps tab, then activate the app at the end of the corresponding line.
- Accessible to all managers: all collaborators with a Manager account can use the app.

From this page, you can add, edit, or delete consents for the candidate.
- Select the type of consent
- Define the consent status (initial, renewal, expiration, revocation)
- Date of collection
- Collection method
- Comment
- Retention period (2 years by default)
- Responsible manager
- Associated legal entity
- Add supporting documents after saving the profile

There are two ways to view consent records:
- From the GDPR Consents tab of the Candidate’s profile
- Directly from the GDPR Consents app, where all records are listed. You can configure filters to display relevant results. To further analyze them, you can also export the questionnaire responses in CSV format. Just click the Export icon at the top right of your screen.
Does creating a candidate automatically create a GDPR consent?
GDPR requires consent to be explicit and unambiguous. Therefore, simply creating a candidate profile will not generate a GDPR consent. The consent must be recorded manually once collected.
Do consents expire automatically?
Currently, this app does not include automated expiration. Your DPO remains responsible for tracking consent validity. However, the GDPR Consents app provides filters on collection dates to easily identify expired consents and take appropriate action based on your internal processes.
Are candidates anonymized once consent expires?
How a candidate is anonymized depends entirely on the information you enter, your retention periods, and your internal processes. Therefore, automated anonymization is not included by default.
