Administration > Managers / Roles > Roles tab > relevant role profile > Main modules section > Activity and Expenses - Module rights settings
To be able to create or edit a mandatory leave, the user must have the following rights:
- Create rights on the Mandatory leave subview
- Reassignment rights if they want to change the agency or responsible manager
- Read/write rights on the Resources tab to include or exclude collaborators
- How to configure search rights for a module
- How to configure access rights for record details in a module
- How to configure miscellaneous access rights in a module
To create a mandatory leave, go to the Activity & Expenses module > Mandatory leave view and click + Add.
You will need to fill in several fields:
- Title of the leave (mandatory)
- Agency (pre-filled with the main agency)
- Resource types, statuses, contract types concerned
- Responsible Manager (yourself by default, editable depending on rights)
In the Mandatory leave section, you can:
- Add one or more leave periods via calendars
- Select a leave type for each period
Good to know
You must add at least one leave period to save the record (even if it’s deactivated).
Once all settings are defined, you can activate the record so that the leave is automatically applied to all relevant resources.
View affected resources
Once the record is saved, a Resources tab appears. This tab lets you:
- View all resources matching the defined scope
- Search by name, type, status
- See whether a resource is Included or Excluded
Good to know
If some resources aren’t visible to the user, a message will appear such as “X resources are hidden...”.
Include / exclude resources
From this tab, you can select one or more resources using checkboxes and change their status via the action bar: Include or Exclude
Can a mandatory leave be deleted after activation?
Yes, but it will still appear in already validated timesheets.
What happens if a new resource enters the scope?
They will automatically inherit the mandatory leave.
What happens if an activity has already been logged on the affected day?
The timesheet will show two entries for the same day.
If you previously asked collaborators to enter time manually due to the lack of this feature, we recommend setting up mandatory leaves for future periods.
What if the balance is insufficient?
The leave will still be applied. A warning will appear in the timesheet, but it is not blocking.
