The Projects+ app allows you to override the classic calculation of production turnover (based on logged hours) by making it either proportional to project progress or by limiting it to the signed turnover.
Configuration
Here you can set global calculation rules as well as the types of projects that will be tracked on Projects+.
Production Turnover Calculation Mode
You can choose the default calculation mode you want to apply:
- Manual: if you want to manually force your production turnover.
- Signed Turnover x Advancement: the production turnover will be calculated proportionally to the project's progress, to be entered month by month.
- Taken schedule x daily sales price + re-invoiced expenses + re-invoiced purchases, limited to signed turnover: the production turnover will be calculated as usual but will be limited to the signed project turnover. Beyond that, any logged production will no longer generate revenue for this project.
"Remains to be done" Filling Mode
There are three possible levels of detail for entering project progress (remaining work expressed in days):
- Global for the project: you provide a total remaining work amount for the project each month, without detail.
- By Groupments: if you have created delivery groupments and want to indicate the remaining work for each of them monthly.
- By Resources: if you want to enter progress for each collaborator.
"Production Turnover Rate" Filling Mode per Resource
This option allows you to weight the production turnover by resource, using a weighting percentage, to express each collaborator's contribution to the produced turnover, independently of logged hours. This allows, for example, highlighting productivity differences between collaborators with different seniority levels.
Three options are available:
- Automatic: The Production Turnover Rate will be the proportion of the hours declared in the month by the resource relative to the total hours declared on the same project.
- Manual: You want to manually manage this percentage rather than having it calculated automatically.
- Disabled: You do not want to enter it. In this case, the resource's production turnover (for these projects) will always be €0($0/£0).
Project States Managed by the Automatic Agent
The automatic agent is a daily calculation that runs on all projects in one of the chosen states (it is recommended to create a special state for this use).
The agent updates the production turnover based on logged hours in the timesheets and only affects Projects+ projects whose production turnover is limited to the signed turnover (3rd production turnover calculation mode described above).
To avoid disrupting all your projects with this management, you must indicate to your interface which types of projects will be managed by the Projects+ application. By doing this, only these projects will have their production turnover managed by this application, and others will continue to function as you are already familiar with.
To do this, simply follow these steps:
- Go to Administration > Global Settings > "Opportunities/Projects" tab > "Project Settings" section.
- Click on "Edit" below the "Projects types whose production turnover & remains to be done are managed from the Projects+ App" field.
- Add the concerned project types.
- Save.
You must decide who will have the application installed by default:
- Accessible only for allowed Managers: you choose which manager has the right to access the application. To do this, you need to go to the Administration > Managers / Roles, open the relevant manager/role card, and check the Projects+ app in the Apps section.
- Accessible for all managers: all managers will have the application installed by default.
- Accessible only for allowed managers & all resources: This option is identical to the first option and will have no effect for intranets who have no access to the Reportings module.
- Accessible for all managers & resources: This option is identical to the second option and will have no effect for intranets who have no access to the Reportings module.
Recommendation
We recommend choosing "Accessible only for allowed managers" to select which managers you want to activate the app for from Managers/Roles.
Different Production Turnover Management Modes
This calculation mode aligns with the usual mode proportional to logged hours but limits it to the signed project turnover. This can be refered to as "Capped T&M."
The benefit is identifying when production no longer generates revenue in cases where the project was negotiated as a time & materials project but with a maximum cost. Beyond this maximum amount, the produced turnover will be valued at 0, thus starting to affect the project's margin.
No Impact on Billing
However, note: this calculation mode does not impact project billing and will not block billing of hours beyond the signed turnover. You retain the option to decide whether to bill the hours that exceed the signed turnover.
Here, the production turnover is calculated based on project progress (advancement) rather than logged hours.
Progress (advancement), here, stands for the ratio between consumption and the re-evaluated taken schedule (consumption + remains to do).
Be cautious when changing Filling mode mid-project!
If you change it, you will lose previously entered remaining work. You will need to re-enter the remaining work for previous months to trace your project's progress month by month.
Global "remains to do" for the project
In this mode, you can enter remaining work in days for the entire project, regardless of the collaborators working on the project or any groupments created.
The production turnover is the total signed turnover multiplied by the project's progress percentage.
"Remains to do" per groupment
This mode only concerns projects where you have created groupments. You can enter remaining work for each groupment, and the total project production turnover will be calculated by adding the production turnover of each groupment (signed turnover of the groupment x progress percentage).
"Remains to do" per resource
Here, remaining work will be entered delivery by delivery, making it the most detailed mode. The total project production turnover will be calculated by adding the production turnover of each delivery (signed turnover of the delivery x progress percentage).
As the name suggests, this mode allows you to manually enter the production turnover for each project tracked in Projects+.
Browsing & Reporting
The overview allows you to view all the projects you have chosen to manage in Projects+ at a glance.
You can see when the project was last updated (Last updated period column), which is also sortable: with one click, you can see which projects have not yet been updated.
The following columns provide the main project progress indicators, with the "Difference estimate" column alerting you to any projects falling behind schedule.
Finally, the last "Difference ET" column gives you a view of the billing balance, specifically the difference between the production turnover and the "charged turnover", revenue that was actually billed to the client.
By opening one of the projects, you access the project's progress ("advancement") tracking month by month.
Firstly, you will find the main project indicators: schedule, turnover, cost, margin, profitability. This summary will update as the project progresses.
Below, three tabs are available: Global, Groupments, Resources. Each presents tracking indicators with its level of detail.
Using the navigation buttons, you can view previous/next months to see the information month by month for the entire project period.
The "Remains to do" fields can be entered based on the mode chosen in the application configuration (or the project at the bottom of the page): you can indicate the remaining days to plan for the project, groupments, or resource by resource, depending on this choice.
In the Production turnover line, an icon allows you to switch from daily automatic calculation to immediate automatic calculation, then to manual entry.
You can thus manage the Production turnover as you see fit, even if you have set a default calculation mode.
The button will always return to the robot when you return to this screen: this is normal, by default the automatic calculation agent will pass over all projects in one of the states chosen in the application configuration (see configuration section above).
This section will allow you to know which figures in your reportings will be affected and which will not.
Impact on Project reporting
Data from Projects+ will impact the following indicators:
- Total production turnover
- Production gross margin
- Production gross profitability
- Turnover production / resource (provided the production turnover rate by resource is entered/calculated)
Note: The "Remains to be done" indicator is not included in indicators affected by Project+ as we cannot manage the remaining work for all periods to be queried via this Reporting module. To see the status of remaining work at a specific time, we invite you to use the Projects+ view directly.
Impact on Resource's reporting
Data from Projects+ will impact the following indicators provided the production turnover rate by resource is entered/calculated on your projects:
- Total production turnover
- Turnover production / Project
Note: The "Remains to be done" indicator is not included in indicators affected by Project+ as we cannot manage the remaining work for all periods to be queried via this Reporting module. To see the status of remaining work at a specific time, we invite you to use the Projects+ view directly.
Impact on "Synthesis" reporting
It should be noted that all production-related indicators will be impacted to the extent that the production turnover will be the one calculated or entered in Projects+. Therefore, turnover, margins, and profitability as well as indicators derived from production turnover will take into account these particular cases managed in Projects+.
